By visiting www.stayinapub.co.uk, using our site, becoming a registered member of Stay in a Pub or making an enquiry or booking through our site, you are accepting and consenting to the practices described in this policy.
Please do not use our site if you do not agree to the terms of this policy (together with our terms of use and any other documents referred to in it).

Your data – what, how, why and who
We collect data that enables us to provide benefits and services to our registered members, to better understand our membership to improve these benefits and services.
We do not share any personally identifiable data with third parties without your specific consent.
We may, however, aggregate our members’ data and provide this analysis to our group companies and our partners. For example, we may look at how many members we have in different age brackets, their rough geographic spread, frequency of visits to our inns and pubs and rough spending habits.
We only collect and process data where we either have your consent, where it is necessary for the performance of a contract between us, where we need to process your data for compliance with a legal obligation, where the processing is necessary to protect the interest(s) of individuals or where we have a legitimate interest in processing the data where to do so is both necessary for us and to would not impact upon your interests or fundamental rights.

Name
• How? We collect this using our sign-up form.
• Why? This allows us to identify you and to personalise your visits to our website.
• Who? We don’t share this with anybody, unless you consent.

Email address
• How? We collect this from our sign-in form when registering with Stay in a Pub
• Why? We use this as a unique identifier – to give you access to your account – your username and an alternative to your mobile phone number. It also enables us to communicate with you about your membership account, and if you agree, to enable us to contact you to provide you with benefits of registering with Stay in a Pub .
• Who? We don’t share this with anybody, unless you consent.

Date of birth
• How? We may collect this as you are completing your member profile.
• Why? It is our policy not to knowingly collect and store data relating to any person under the age of 18. Some of our membership benefits involve the provision of alcohol; we need to know you are over 18. This also enables us to better understand our membership (on an aggregated basis) to help make our offering more appropriate to all our members, and enables us to provide you with benefits around your birthday.
• Who? We generally give this to nobody, unless you consent. We may conduct an analysis of ages of our members (on an aggregated, non-personal basis) with selected group companies and third parties.

Mobile telephone number
• How? We may collect this as you are completing your member profile.
• Why? We use this as a unique identifier – to give you access to your account – your username and an alternative to your email address. It also enables us to contact you.
• Who? We don’t give this to anybody, unless you consent.

Profile photo
• How? If you agree, we may collect this as you are completing your member profile.
• Why? This allows our team to identify you.
• Who? We don’t give this to anybody, unless you consent.

Residential address
• How? We may collect this as you are completing your member profile.
• Why? This enables us to better understand our membership (on an aggregated basis) to help make our offering more appropriate to all our members. It also allows us to customise your benefits and experience.
• Who? We generally share this with nobody, unless you consent. We may use this to conduct an analysis of the place of residence of our members (on an aggregated, non-personal basis) with selected group companies and third parties.

Gender
• How? We may collect this during completion of your member profile.
• Why? We use this to better understand our membership (on an aggregated basis) to help make our offering more appropriate to all our members. It also allows us to customise your benefits and experience.
• Who? We generally give this to nobody, unless you consent. We may conduct an analysis of gender of our members (on an aggregated, non-personal basis) with selected group companies and third parties.

Voucher redemption and spending history across Stay in a Pub
• How? We collect this through your booking history using the Stay in a Pub website.
• Why? This allows us to provide you with loyalty rewards and to customise your benefits and experience. It also allows us to better understand our membership (on an aggregated basis) to help make our offering more appropriate and better value, ensuring benefits are the most suitable for all our members.
• Who? We generally share this with nobody, unless you consent. We may conduct an analysis of spending of our members (on an aggregated, non-personal basis) with selected group companies and third parties.

Device ID (MAC address, IP address)
• How? We may collect this through your use of the Stay in a Pub website in accordance with our cookie policy.
• Why? This enables us to better understand our membership (on an aggregated basis) to help make our offering more appropriate and better value, ensuring benefits are the most suitable for all our members. It also enables us to customise your benefits and experience.
• Who? We won’t share this with anybody, unless you consent.

Personal interests
• How? We may collect this during completion of your member profile.
• Why? This enables us to better understand our membership (on an aggregated basis) to help make our offering more appropriate and better value, ensuring benefits are the most suitable for all our members. It also enables us to customise your benefits and experience.
• Who? We won’t share this with anybody, unless you consent.

Cookies
• How? We collect this information when you use our website, whether on mobile or desktop.
• Why? This enables automatic sign-in to your account.
• Who? We won’t share this with anybody, unless you consent.

Email and website analytics
• How? We collect this information through emails and website usage.
• Why? This enables us to understand what you are clicking on in our emails so that we can tailor our content to make it more relevant to you.
• Who? We won’t share this with anybody, unless you consent.

How long do we hold your data for?
The length of time that we hold your data will depend on the type of data. We will not hold your personally identifiable data longer than is necessary and we will delete your data on request. The only exception to this is in accordance with our legal obligations and responsibilities.
Your personal data will be held and used by us (as set out above) for so long as you are a member of Stay in a Pub . If you terminate your membership:
• once all outstanding payments have been made, your payment details will be securely destroyed by our third party payment provider;
• we will retain your contact details and purchase history for as long as we are required by law or to deal with any possible disputes;
• to allow you to re-activate your membership should you require, we will generally only delete your other personal data after 3 months of termination or (if later) once all outstanding payments have been made.
You may request the deletion of your data immediately on termination should you wish – please contact us at info@stayinapub.co.uk or by writing to us at the address below at the time to request this. We will only be able to do this once all outstanding payments have been made and to the extent that we are not required to retain any details by law or in relation to any disputes.
We will retain certain of your data as part of aggregated data sets or forming part of analysis of our membership after you cease to be a member of Stay in a Pub . You will not be personally identifiable from this data.

Transfer of data outside of the European Economic Area (EEA)
We do not ordinarily transfer your data outside of the EEA.
The only exception to this is that our servers, or those of our website or mobile application hosts and developers, or those of those with whom we share your data, may be located outside of the EEA.
Where any such arrangements are in place, we have in place with our server, website, or third parties binding agreements in place requiring them to comply with the requirements of the GDPR and, in particular, maintain your data securely and comply with any requests that you may make in respect of it.

What rights do you have in respect of your data?
a) Amending your consents

We only charge for any such requests if we reasonably believe a request to be manifestly unfounded or excessive, including if it is repetitive or requests are made for further copies of the same information. c) Requesting transfer of your data to another person

d) Complaints
We understand that, despite our best efforts, sometimes our initial efforts may not be entirely satisfactory. If this happens, we would hope that this is merely a technical issue or an administrative oversight. If this is the case, we want to correct this and ensure that you are entirely satisfied.
Please therefore let us know as soon as possible using the contact details below and we will use our best efforts to remedy any issues as soon as possible.
If you do not feel that we have been able to rectify any problems to your reasonable satisfaction following an initial conversation with us, please let us know and we will elevate any problems to our senior management team.
